n8n vs Make vs Zapier: which automation tool fits your business?
A plain-language comparison of n8n, Make and Zapier for Indian businesses: how each works, how they charge, hosting and data, AI features, and when to choose which.

If you want to automate work without building software from scratch, three tools come up in almost every conversation: n8n, Make and Zapier. We build on all three, and the honest answer to "which is best?" is that it depends on what you are automating, how often it runs and who will look after it.
This guide compares them on the things that decide real projects: how you build, how they charge, where your data goes and how well they handle AI.
The short answer
- Choose Zapier for quick, simple automations between popular apps, set up by non-technical people.
- Choose Make for visual workflows with several branches, filters and data clean-up, at a moderate cost.
- Choose n8n when you need full control: complex logic, high volumes, AI agents with custom steps, or data that must stay on servers you control.
Many businesses end up using more than one. That is fine, as long as someone knows what runs where.
At a glance
| n8n | Make | Zapier | |
|---|---|---|---|
| Best for | Control, complex logic and AI agents | Visual, multi-branch workflows | Quick, simple automations across many apps |
| How you build | A canvas of connected nodes, with JavaScript or Python where needed | A visual canvas of modules, routers and filters | A step-by-step editor: one trigger, then actions |
| Ready-made app connections | Hundreds, plus an HTTP node for any API | Thousands | The largest library of the three |
| How it charges | Cloud plans count workflow runs; self-hosting has no per-run fee | Counts each module that runs (credits) | Counts each action step that runs (tasks) |
| Hosting | n8n Cloud, or self-hosted on your own servers | Make's cloud only | Zapier's cloud only |
| Learning curve | Steepest; suits a technical owner | Moderate | Gentlest |
How they charge, and why it matters
The three tools count usage differently, and at volume that difference matters more than the headline plan price.
Take a workflow that receives a new lead, looks up the company, scores the lead with AI, updates your CRM and sends a WhatsApp message: one trigger and four actions. Run it 1,000 times a month and, roughly:
- Zapier counts about 4,000 tasks, because each action step that runs is a task.
- Make uses about 5,000 credits (called operations until 2025), because each module that runs, the trigger included, uses one. AI modules can use more.
- n8n Cloud counts 1,000 executions, because it charges per workflow run however many steps it has. Self-hosted n8n has no per-run fee, but you pay for the server and for someone to maintain it.
Plans, limits and prices change often, so check each tool's current pricing page before you decide. Remember the costs outside the tool too: AI model usage, WhatsApp or SMS fees, and the time to maintain the workflows.
Hosting, data and privacy
Zapier and Make run only in their own cloud, so your data passes through their servers. That is fine for most workflows, but read each provider's data-processing terms if you handle customers' personal data.
n8n can also be self-hosted, which lets you keep data on servers you control, for example in an Indian data centre. With India's Digital Personal Data Protection Act, 2023 in force, that option matters for finance, healthcare, education and any business holding sensitive customer records. The trade-off is responsibility: someone has to run updates, backups, monitoring and security.
AI features
All three can call AI models from OpenAI, Anthropic and others, and all three have added AI steps or agents of their own. n8n goes furthest for custom work, with agent nodes that can use tools and memory inside a workflow you design step by step.
In practice, the model matters less than the workflow around it: clean inputs, clear instructions, a check on the output, and a person who reviews the cases the AI is unsure about. A well-designed workflow with an ordinary model beats a poor one with the newest model every time.
Which should you choose?
- A small team connecting a form, a spreadsheet and email: start with Zapier.
- An operations team with approvals, branches and messy data: Make is usually the better fit.
- A company with sensitive data, high volumes or AI agents that need custom logic: n8n, with someone technical to own it.
- Not sure yet: map one workflow end to end first. The right tool is usually obvious once you can see every step.
Learn it yourself, or have it built
If you want to build these workflows yourself, our AI Automation course is eight live weeks of building multi-step workflows in n8n, Make and Zapier, and AI agents with tools, memory and guardrails.
If you would rather have them built, we do that as an AI automation agency, and train your team to run them.
