WhatsApp AI chatbots for business: how they work and what to plan for
How WhatsApp AI chatbots work for Indian businesses: the Business Platform, opt-in and templates, what to automate first, costs and human handover.

For most customers in India, WhatsApp is where conversations already happen. That makes it the obvious place for an AI chatbot that answers questions, qualifies leads and books appointments, at any hour, in seconds.
It also makes mistakes very visible. A bot that gives wrong answers, or messages people who never asked to hear from you, costs trust quickly. Here is how WhatsApp AI chatbots work, what to automate first and what to plan for.
The WhatsApp Business app vs the WhatsApp Business Platform
The free WhatsApp Business app suits small teams replying by hand. It has a business profile, quick replies, and greeting and away messages, but it is not built for connecting an AI model or your CRM.
An AI chatbot runs on the WhatsApp Business Platform, Meta's API for businesses. You connect to it either directly through Meta's Cloud API or through a Business Solution Provider, a company that resells access and usually adds an inbox and tools. Either way, your number is connected to software that can read incoming messages and reply automatically.
How an AI chatbot on WhatsApp works
- A customer sends a message to your business number.
- The WhatsApp Business Platform passes it to your workflow, often built in a tool such as n8n or Make.
- The workflow gives an AI model the message, the conversation so far and your approved knowledge: FAQs, policies, product or property details.
- The model drafts a reply, or the workflow takes an action, such as creating a lead in your CRM, checking an order or booking a slot.
- When the bot is unsure, or the customer asks for a person, the conversation is handed to your team with the context attached.
The WhatsApp rules that shape your bot
- Opt-in first. Customers must agree to hear from you on WhatsApp before you message them first.
- Templates for messages you start. Messages your business sends first, such as reminders or offers, must use templates that Meta has approved.
- The 24-hour window. When a customer messages you, you can reply freely, without a template, for 24 hours.
- Quality matters. WhatsApp watches how people respond to your messages. Many blocks and reports can limit how many people your number can reach.
What to automate first
- Repeat questions: prices you publish, timings, locations, eligibility, documents needed.
- Lead qualification: ask a few questions (need, budget, location, timeline), score the answer and route good leads to sales straight away.
- Bookings: site visits, demos, consultations and callbacks.
- Status updates: orders, applications or service requests, looked up from your own systems.
- Internal helpdesk: answering staff questions from your policies and process documents.
Speed is often the biggest win. One real estate client we worked with cut lead response time from 6 hours to under 15 minutes. People who enquire on WhatsApp expect an answer in minutes, not the next morning.
Costs to plan for
- Meta's messaging charges. Meta charges for template messages, with rates that depend on the category (marketing, utility or authentication) and the country. Replies inside the 24-hour customer service window currently cost nothing. Check Meta's current rate card for India before planning campaigns.
- Provider fees, if you use a Business Solution Provider.
- AI model usage, usually small per conversation but worth estimating at your volumes.
- Workflow platform subscriptions or hosting.
- Building and upkeep: set-up, testing, and keeping the bot's knowledge current as prices and policies change.
Plan these before you launch
- One source of truth. The bot should answer only from knowledge you have approved, and say so when it does not know. Never let it guess prices, discounts or policies.
- Language. Customers may write in English, Hindi, a regional language or a mix. Test the languages your customers actually use.
- Handover. Decide when a person takes over, who that is during and after office hours, and how they see the conversation so far.
- Personal data. Collect only what you need, store it securely and be clear about how it is used, in line with India's Digital Personal Data Protection Act, 2023.
- Measures. Track response time, questions resolved without a person, leads qualified and handovers, and review real conversations every week at first.
Start narrow
Launch with one job, such as qualifying property enquiries, done very well. Add more once you have read a few hundred real conversations.
