12 AI automation examples for small businesses in India

Twelve practical AI automation examples for small businesses in India, from WhatsApp lead replies to invoice processing, with what each needs and how to start.

Small businesses rarely lose time on one big task. They lose it on dozens of small ones: replying to the same questions, copying details between apps, chasing follow-ups and building the same report every week.

These are twelve AI automations that suit small teams in India, grouped by where they save time. For each, you will see what it does and what you need to run it. You don't need all twelve. One or two, done well, usually make the biggest difference.

Sales and leads

  • Instant replies to new enquiries. Answers people who message on WhatsApp or your website within minutes, at any hour. You need: the WhatsApp Business Platform or a website chat, and approved answers to common questions. One real estate client we worked with cut lead response time from 6 hours to under 15 minutes.
  • Lead qualification and routing. Asks a few questions (need, budget, location, timeline), scores the answer and sends good leads to the right salesperson. You need: your qualifying questions and a CRM or shared sheet.
  • Follow-up reminders. Follows up with every lead on schedule, so none go cold, and tells a person when someone replies. You need: a list of leads with a status, and message templates.

Customer support

  • An FAQ assistant. Answers repeat questions about timings, published prices, policies and processes from knowledge you have approved, and hands over when unsure. You need: an up-to-date FAQ and a channel such as WhatsApp or website chat.
  • Order and booking status. Looks up an order, delivery or appointment in your system and replies with the status. You need: a system that holds the status and allows reading it.
  • Review requests. Asks every customer for a Google review after a purchase or visit, with a direct link (asking only the happy ones breaks Google's rules). You need: your review link and a trigger, such as an order marked delivered.

Operations and admin

  • Invoice and document processing. Reads invoices, bills and forms, pulls out the details and puts them in your sheet or accounting tool, with unclear ones sent to a person. You need: a folder or inbox where documents arrive.
  • CRM data entry. Turns emails, form entries and messages into CRM records without anyone typing. A logistics client we worked with removed manual CRM work entirely. You need: a CRM and the sources leads come from.
  • Meeting notes to tasks. Turns call or meeting notes into a summary and a task list with owners and dates. You need: notes or a recording, and the task tool your team uses.
  • Shared inbox triage. Sorts incoming email by type and urgency, drafts replies to routine ones and flags the rest. You need: a shared inbox and the categories that matter to you.

Marketing and reporting

  • Content repurposing. Turns one article, video or webinar into draft social posts and an email, for a person to edit and approve. You need: your source content and brand guidelines.
  • A weekly report. Pulls numbers from your ads, website and CRM into one short summary every Monday, and highlights what changed. You need: access to those tools.

What it costs to run

Beyond building them, automations have small ongoing costs. Plan for:

  • The workflow tool: n8n, Make or Zapier, each priced differently (compared here).
  • AI model usage: usually small per task, but worth estimating at your volumes.
  • Messaging: on WhatsApp, Meta charges for template messages your business sends first; replies within 24 hours of a customer's message currently cost nothing (details).
  • Upkeep: someone to update answers and prices, and to check the automation still works when an app changes.

How to choose your first automation

Score each idea on three things: how often it happens, how long it takes each time, and whether you can measure the result. The best first automation scores high on all three. Replying to new enquiries and CRM data entry usually do.

Measure before you start

Write down how long the task takes today and how often it goes wrong. Without that number, you can't show the automation worked.

Not sure where your business stands? The free AI Readiness Score takes about 3 minutes, and our guide on how to choose an AI automation agency lists the questions to ask before hiring help.

Learn it, or have it built

To build these yourself, our AI Automation course is eight live weeks of building workflows and agents in n8n, Make and Zapier. To have them built, share a brief with our AI automation team and we will reply within 24 hours with a tailored plan, an indicative timeline and pricing.
